Data protection

Privacy policy

We respect your privacy. Below we explain what data we process in connection with the website, the contact form and the editorial panel, for what purpose and for how long.

  1. 1. Data controller

The controller of your personal data is Klub Československý Vlčiak i Saarlooswolfhond, Oddział w Zielonej Górze, ul. Agrestowa 81, 65-780 Zielona Góra. For any matter concerning personal data, write to [email protected].

  2. 2. Scope and purpose of processing

We process only the data you voluntarily provide in the contact form: your name, e-mail address and the message itself (optionally a subject and the breed you are interested in). The data is used solely to reply to your message and to handle the club matters it concerns.

  3. 3. Legal basis

Processing is based on the controller's legitimate interest in corresponding with people who contact the club (Art. 6(1)(f) GDPR).

  4. 4. Retention period

Messages from the form are kept for a maximum of 12 months from receipt, after which they are automatically and permanently deleted. The same retention applies to the editorial panel's activity log. Session data of signed-in editors is deleted when the session expires.

  5. 5. Recipients of the data

We do not sell your data or share it with third parties for marketing purposes. It is accessible only to persons authorised by the club and to the hosting provider on whose servers the website runs.

  6. 6. Data of the people running the website

The website's content is managed by the editorial team through an administration panel. For panel accounts we process an e-mail address, the person's name and a password stored as an irreversible hash — we never keep it in plain form. For security reasons we also record the IP address and browser information at sign-in, together with an activity log: who changed which entry and when. This is based on the controller's legitimate interest in protecting the website against unauthorised access (Art. 6(1)(f) GDPR). The log contains neither the content of messages sent through the contact form nor the details of their senders.

  7. 7. Your rights

You have the right to access, rectify and erase your data, to restrict its processing and to object to it. You may also lodge a complaint with the President of the Polish Personal Data Protection Office (uodo.gov.pl).

  8. 8. Cookies

The public website stores no cookies whatsoever — neither marketing, nor analytics, nor preference cookies; the language version is determined by the page address. The only cookie in the entire service is created when you sign in to the editorial panel: it holds the session identifier, is not accessible to scripts in the browser and expires when you sign out.

  9. 9. Changes to this policy

This policy may be updated as the website evolves — the version published on this page applies.
